To ensure efficient capacity planning and follow-the-sun coverage across the globe we are looking to expand Creative Services operations and set up graphic designers and workflow team in Bain’s Lisbon office.


The Department 

Creative Services, part of Bain's global Marketing organization, specializes in providing high-quality presentation design services supporting our consulting teams and practices. Our designers seamlessly integrate design expertise, storytelling techniques, and data visualization skills to create presentations that deliver insights with clarity and impact. 


The Role 

As a Senior Operations Specialist for workflow management you are the first point of contact in Creative Services for client teams and business partners for design requests and support. Your role is to actively scope and align on expectations for the work and assign to a designer for production. Your extensive knowledge and skills in workflow management will enable you to troubleshoot workflow issues, and improve workflow processes as well as guide and train colleagues on scoping, time management, and client communication. 


Responsibilities 

  • Collaborate with client teams and business partners to assess, prioritize and allocate resources for design requests, making recommendations as needed 
  • Respond and own design requests through completion, ensure expectations are aligned, and that design requirements are met within established deadlines 
  • Drive fast turnaround design solutions for customers according to Bain and client brand standards, this includes being autonomous and confident in balancing competing demands and making quick decisions 
  • Monitor dashboards and track project information to ensure service is meeting department KPIs and service agreements 
  • Troubleshoot and problem solve workflow systems or process issues 
  • Contribute ideas and drive projects that improve workflow processes, systems and technology 
  • Mentor and coach Workflow colleagues on scoping, prioritization, time management, resource allocation, and client communications 
  • Cooperate with workflow specialists from other regions to ensure seamless service for our stakeholders


Knowledge, Skills and Abilities 

  • Demonstrate command of fundamental principles and techniques of design with increasing knowledge of specialty design and stakeholder groups 
  • Provide timely responses, routing, and troubleshooting of incoming work that demonstrates a thorough concern for all the areas involved, no matter how small 
  • Display strong organizational and interpersonal skills with the ability to handle multiple projects/deadlines in parallel and with increasing complexity by leveraging team collaboration tools to communicate with stakeholders to support team service level agreement goals 
  • Serve as the bridge across Design team and case team stakeholders to assign/coordinate a wide range of deliverables; effectively communicate process and remove roadblocks to drive trust and collaboration 
  • Own individual and collaborative project streams with limited support from manager to identify, solicit team feedback, and roll-out improvements to workflow process while mentoring more junior team members


Requirements 

  • 3+ years experience working as a workflow or project coordinator within a design-focused environment 
  • Excellent time management, prioritization and project management skills 
  • Professional customer service attitude
  • Passion for results, ownership and awareness  
  • Working knowledge of Adobe Workfront or a similar project management tool 
  • Fluency in written and spoken English is a must
  • Bachelor’s degree or an equivalent combination of education, training and experience
