ROLE OVERVIEW: 

The Specialist, Local HR independently carries out the processes within personnel administration to Lisbon GBS employees and management. The Specialist supports the operations associated with various HR processes throughout employee life cycle, including hiring onboarding, engagement, departures (offboarding), job changes in the HR system, mobility and immigration, and compensation preparation. The Specialist, Local HR will apply HR global and GBS policies to the Portugal market place and legislation and advise on Employer Value Proposition according to local market trends. Work closely with the Director HR & Talent in execution of Talent Priorities for GBS Lisbon office.


RESPONSIBILITIES: 

  Personnel administration:

  • Being a point of contact for employees, hiring managers, Recruiting Team and external vendors 
  • Personnel files administration within Portuguese labor law and Bain internal regulations
  • Managing the whole employees’ lifecycle including documentation, internal policies and processes
  • Providing support for other employees’ issues and HR related tasks
  • Updating personnel data and managing performance review cycle in Workday

Hiring and Onboarding:

  • Pre-employment process management that includes providing medical check requests and coordination of background screening process
  • Participating actively in arranging onboarding process for new hires including conducting HR onboarding trainings

Offboarding:

  • Maintain departure process according to the Bain departure policy and local legislation
  • Lead Exit interviews, process the outcome and share insight/report with the Manager 

Compensation and benefits:

  • Monthly payroll input preparation; analyzing benefit data (benefit cafeteria, medical service provider, Insurance, etc.), bonuses, absences and preparing reports based on various resources
  • Administering benefits in systems and platforms and responding to employees’ inquiries 
  • Maintaining good cooperation with external payroll and other service providers. Proactively identifies conflicts or roadblocks, often able to resolve independently. Actively participates in process improvement implementation
  • Supports the team with expertise in programs and processes

Others:

  • Work closely with other HR team members, Global HRBPs, Experience Talent Recruiting and other Centres of Excellence
  • Manage implementation of global HR priorities and projects for GBS Lisbon



REQUIREMENTS:

  • University Degree (additional education in personnel administration or HR will be an asset)
  • Min. 5-year experience in HR admin/personnel administration and payroll 
  • Very good knowledge of Portuguese labor law 
  • Advanced user of Microsoft Excel, Power Point, and Word 
  • Previous experience in working with Workday and/or other HR administration systems 
  • Proficient Portuguese language is a must
  • Proficient English is a must as it is Bain’s communication language    
  • Ability to meet deadlines, prioritize assignments, and juggle multiple tasks simultaneously in a fast-paced, customer-focused environment 
  • Ability to work both independently and as an integral member of the team
  • Strong process management and attention to detail
  • Ability to maintain professionalism and discretion while dealing with highly confidential information 
  • Demonstrates effective communication and very strong interpersonal skills with all levels of the organization to allow for great customer service
  • Ability to interact and negotiate with external contacts/parties as knowledgeable Bain representative
  • Positive, problem solving and continuous improvement approach
  • Eligible to work in EU
