WHO YOU’LL WORK WITH 


Work with other EA/MA Managers, the Regional Program Leadership Team and Executive and Manager Assistants in a collaborative and remote team environment to provide program management and support of the regional EA/MA team. Frequent communication, teamwork, and collaboration with Leadership Team members and other Business Function areas are critical for success.


WHERE YOU’LL FIT WITHIN THE TEAM


As a Manager, you hold the primary responsibility for overseeing the daily management of a group of Manager Assistants (MA) and Executive Assistants (EA) in the Americas Region, to ensure the highest level of administrative support to members of the Leadership Team. EA/MA Manager will sit on committees with other Managers in the region to either recruit talent, onboard and train or promote MAs to EA positions. EA/MA Managers will serve as the primary resource for day-to-day employment matters and program logistics for the EA/MA team under their purview. The EA/MA Manager will be responsible for managing a mostly work from home team of EA/MA team members. 


WHAT YOU’LL DO


    Manage all program activities of EA/MA team members in purview, including lead performance management process; compile agenda for monthly meetings and facilitate group discussions; approve timesheets; approve requests for time off; approve overtime requests; manage days in/out of the office and staffing needs across the team

    Compile feedback and write annual reviews for EA/MA team, recommend ratings to Regional Program Leadership Team and contribute to MA to EA promotion processes 

    Work collaboratively with other Managers in the region on one or more team committees to standardize and bring best in class programs to EA/MA team; examples include: recruiting for new talent; training/professional development; onboarding programs; promotion committees; team meetings (regional meeting frequency, content and cohort frequency and content) 

    Oversee performance management processes for EA/MA team; identify performance issues, deliver feedback and create performance plans 

    Build strong relationships with leadership team members supported by EA/MA team to ensure feedback is being delivered and performance levels are being maintained, including having standard cadence of check points for all members of leadership team, establishing Manager as main point of contact for any issues with EA/MA performance 

    Work collaboratively with Regional Senior Manager to oversee staffing changes on EA/MA team with consideration of workload, location, time zone, etc. 

    Train new Leadership Team members being assigned to EA/MA team member under Manager supervision on "how to work with an assistant"; provide ongoing advice/coaching to leadership team and assistants as necessary to drive consistency and teaming 

    Manage team coverage and staffing needs working closely with Senior Manager on new staffing assignments ensuring capacity and people movement are regionally kept up to date; proactively solve issues as they arise; communicate coverage changes as needed to EA/MA team and leadership team 

    Provide delegate access to calendars for coverage purposes 

    Oversee team building activities and events and ensure these activities are fit for purpose based on where people are living/working on the EA/MA team; select volunteers and monitor team progress 

    Monitor EA/MA lists and keep up to date; distribute updated lists regularly 

    Work collaboratively with Regional Senior Manager and HR Business Partner on employee relations and team issues 

    Other projects/duties as they arise 


ABOUT YOU


    Business English proficiency required

    Bachelor’s degree or an equivalent combination of education, training and/or experience is required 

    A minimum of 5 years professional experience is required; prior experience as an Executive Assistant is preferred

    Highly motivated; self-starter 

    Professional written and verbal communication skills required 

    Ability to work independently and as an integral member of teams 

    Meticulous attention to detail and accuracy 

    Ability to meet deadlines, prioritize assignments and juggle multiple tasks 

    Ability to handle highly confidential information 

    Strong customer service focus; adapts quickly to changing priorities 

    Logical problem solving skills and ability to navigate ambiguity 

    Strong proficiency in Microsoft Windows, Word, Excel, PowerPoint, and Outlook
