WHO YOU’LL WORK WITH
You’ll be part of our Global Business Services Center in Lisbon, delivering best-in-class internal support to Bain’s leadership and consulting teams across Europe, the Middle East, and Africa. You’ll join a highly collaborative, upbeat, and inclusive team that values partnership, continuous learning, and shared success.
WHERE YOU’LL FIT WITHIN THE TEAM
As a Manager’s Assistant, you’ll provide high-quality administrative support to multiple Bain senior leaders and, where needed, to their broader teams. This is a fast-paced, high-impact role for someone who enjoys building trusted relationships, staying highly organized, and anticipating needs before they arise. You’ll help ensure seamless coordination across calendars, travel, and workflows while working within a hybrid model.
WHAT YOU’LL DO
Calendar Management
Manage busy, constantly evolving calendars for senior stakeholders
Proactively adjust schedules as priorities shift, often at short notice
Coordinate complex internal and external meetings across time zones
Build and maintain strong working relationships with key client contacts
Travel & Logistics
Partner with Bain’s travel provider to coordinate sophisticated travel itineraries
Manage visa applications and travel documentation, proactively anticipating future needs
Provide logistical and technical support for meetings, conferences, and workshops using PowerPoint, Word, Excel, and online research
Relationship Management
Support leaders and colleagues by building cooperative, professional relationships at all levels, both internally and externally
Maintain CRM records using best practices, ensuring timely and accurate updates in line with global data standards
Expenses
Process time and expense submissions end to end
Manage complex expense cases, including bank statement reconciliation and foreign currency receipts, with accuracy and timeliness

Must Have:
Fluency in Spanish and English (written and verbal)
Strong organizational skills with the ability to manage multiple priorities efficiently
A positive, proactive, and problem-solving mindset
Comfort working independently in a hybrid, fast-paced environment
Excellent interpersonal, communication, and listening skills
Ability to build trust-based relationships without regular face-to-face interaction
Experience using Microsoft Outlook, Lotus Notes, or Google Calendar
Prior experience in a demanding professional environment
Eligibility to work in the EU
Nice to Have:
