WHO YOU’LL WORK WITH

You’ll be part of our Global Business Services Center in Warsaw, which delivers high-quality support to Bain’s leadership and consulting teams across Europe, the Middle East, and Africa. In this role, you’ll work closely with senior stakeholders, including native German-speaking stakeholders and teams, supporting them in a dynamic, international environment.

WHERE YOU’LL FIT WITHIN THE TEAM

As a Manager’s Assistant, you’ll provide high-quality administrative support to several senior Bain leaders and, where needed, their broader teams. This is a fast-paced, high-trust role for someone who enjoys being at the center of the action, solving problems, and helping senior stakeholders stay focused on their priorities. 

You’ll play an important role in keeping day-to-day operations running smoothly across calendars, travel, meetings, and workflows. For someone with strong German and English skills, this is an opportunity to work closely with senior, often native German-speaking stakeholders and build experience in a professional, international setting. You’ll also be part of a collaborative Manager’s Assistant and Executive Assistant community where people actively support one another across locations and teamwork is part of how we work every day.


WHAT YOU’LL DO


Calendar management:

    Manage busy and frequently changing calendars with a proactive, solution-oriented approach 

    Coordinate and reschedule complex meetings and travel plans, often at short notice 

    Handle extensive internal and external meeting scheduling across multiple stakeholders and time zones 

    Build and maintain effective working relationships with key senior stakeholders and external contacts 


Travel and logistics:

    Coordinate complex travel arrangements in partnership with our travel provider 

    Manage visa applications and other travel documentation accurately and on time 

    Anticipate travel needs and help ensure smooth execution of plans 

    Provide logistical and administrative support for meetings, conferences, and workshops 

    Use tools such as PowerPoint, Word, Excel, and online research to support day-to-day needs 


Relationship management:

    Build strong, trust-based relationships with leaders, colleagues, and contacts at all levels, both internally and externally 

    Support German-speaking stakeholders with professionalism, responsiveness, and attention to detail 

    Follow best practices when using CRM and digital mailing systems, ensuring contact data is accurate and maintained in line with global standards 

    Contribute to team initiatives and help foster collaboration, team spirit, and shared impact


Expenses:

    Process time and expense submissions accurately and on time 

    Manage complex expenses, including bank statement reconciliation and foreign currency receipts 



ABOUT YOU


    Proficient in German and English, both written and spoken 

    Confident communicating with senior stakeholders in a professional environment 

    Strong organizational skills, with the ability to manage multiple priorities accurately and efficiently 

    Proactive, positive, and solution-oriented in your approach 

    Comfortable working independently in a fast-changing hybrid environment 

    Strong interpersonal, communication, and listening skills 

    Able to build trusted working relationships, including in a hybrid setting 

    Experienced using Microsoft Outlook, Lotus Notes, or Google Calendar 

    Prior experience in a demanding professional environment 

    Bachelor’s or Master’s degree preferred
