WHO YOU’LL WORK WITH
The Intern, EMEA Travel & Expense plays an integral role in processing invoices and expenses with a high level of functional and technical expertise. This individual operates with autonomy, ensuring accurate and timely entry of expenses into the system. They serve as support and a point of contact for internal and external stakeholders—responding to inquiries, upholding policy compliance, and providing exceptional customer service. This role is pivotal in maintaining adherence to Bain’s Travel & Expense (T&E) policies and supporting employees through clear guidance and issue resolution.
WHAT YOU’LL DO
Travel & Expense Operations
- Review employee expense reports for reasonableness, policy compliance, timeliness, completeness, and accuracy
- Respond to employee queries with professionalism and clarity, demonstrating strong written and verbal communication skills
- Partner with team members to address workflow volumes and provide rebalancing recommendations
- Identify irregularities and nonstandard submissions requiring escalation or additional review
- Perform routine audits per departmental control requirements while delivering excellent customer service
- Generate reports and perform analytical reviews to support operational improvements

Qualifications and Experience
Required
- Proficiency in English (written and verbal)
- Strong working knowledge of Excel
- Ability to work full-time (40% onsite and 60% remote) 2 days a week in the Warsaw office.
Preferred
- Experience with SAP and ServiceNow
- Exposure to process transitions or shared services environments
- Some experience in a Travel & Expense or finance-related role
- Background in a consulting firm or global captive service unit
