What you will do:

This role is primarily responsible for providing high-quality executive support to two Perth-based Partners, playing a key role in enabling their effectiveness, productivity, and day-to-day success. Operating in a fast-paced and dynamic environment, you will take ownership of a broad range of executive and administrative responsibilities, proactively managing priorities, anticipating needs, and helping the Partners operate at maximum impact. The role requires a high level of professionalism, discretion, and sound judgement, as you will regularly work with commercially sensitive and confidential information.

 

In addition to Partner support responsibilities, the role also contributes to the broader Perth office experience through shared office support duties. You will help foster a professional, welcoming, and well-run office environment for employees, clients, and visitors, including acting as a key point of contact for guests, supporting day-to-day office coordination and logistics, and assisting with internal events and office operations.


EA Duties

  • Provide high-level executive support to two Partners, ensuring effective management of priorities, schedules, and day-to-day operations
  • Manage complex diaries across multiple time zones, including scheduling, prioritising, and coordinating internal and external meetings with multiple stakeholders
  • Proactively manage meeting changes and conflicting priorities, including frequent rescheduling at short notice, while ensuring all relevant participants are kept informed
  • Coordinate domestic and international travel arrangements, including flights, accommodation, ground transportation, visas, and supporting documentation, with the flexibility to manage last-minute changes and adjustments
  • Prepare meeting materials, documentation, and other supporting information as required
  • Build and maintain strong collaborative relationships with clients and colleagues at all levels, both internally and externally
  • Handle confidential and commercially sensitive information with discretion and professionalism, while acting as a trusted support resource for Partners and colleagues where appropriate
  • Maintain accurate records within Bain systems and databases (including Cortex), ensuring client contacts and activities are regularly updated and monthly digital mailings are distributed as required


Office Services, Operations & Employee Experience

  • Deliver a high-quality employee experience, managing office operations, meeting room bookings, visitor enquiries, and security/access passes.
  • Ensure the office is consistently clean, organised, fully stocked, and client-ready, including meeting rooms, kitchen/breakout areas, and compliance with health and safety standards.
  • Manage office supplies and inventory (stationery, kitchen, wellness), process invoices in line with budget guidelines, and coordinate mail and courier services.
  • Liaise with Building Management and vendors to oversee maintenance, repairs, cleaning, and tenancy matters.
  • Provide administrative support, maintain intranet pages and the Office Procedure Manual, and organise catering and logistics for meetings and functions.
  • Coordinate office events and employee engagement initiatives, supporting recruiting, HR, IT, finance, Office Leads, and committees with planning and execution.
  • Jointly act as Perth Office Safety Lead, serving as Fire Warden and First Aid Officer, and coordinating fire drills and safety procedures.
