Position Summary:

As a member of the Toronto Recruiting team, the Recruiting Coordinator will assist in the development and management of Bain’s talent acquisition and hiring efforts; including the planning and execution of on-campus and in-office recruiting events.

 

Responsibilities and duties:

School Support, Event Planning and Execution

  • Assist in management of talent acquisition sources, including marketing, event planning and execution, screening/resume review(s), interview planning and oversight, selling/closing offerees
  • Plan events at targeted schools, including venue selection, contract coordination with Bain Legal & Finance, food/beverage selection, and other logistics
  • Track pipeline of recruits and coordinate logistics with the respective school team
  • Manage event/interview invites, student sign-up, scheduling and RSVPs 
  • Attend recruiting events (in-and-outside the office)
  • Manage logistics for interview days, including food, space, travel, and materials/interview packs. Lead communication to candidates, communicate schedule with them and the interviewers, and assist in the running of the offeree decision and communication process.
  • Own creation and execution of specific events such as Summer Intern program, and assist with events for the Toronto Offeree Weekends, including the planning and execution of consulting staff attendance, external communications to candidates and venues for activities

 

Communication Management 

  • Manage external marketing communications with School Career Services Offices and on-campus clubs and organizations, including email campaigns, invitations, campus flyers and room bookings on campus
  • Communicate & correspond with recruits on a regular basis, including referrals. Maintain incoming inquiries, applications, and generate appropriate responses in a timely manner
  • Maintain regular communication with other Bain offices regarding candidate updates, logistics for marketing and interviewing events and act as the on-site coordinator/representative 
  • Provide clear, timely responses to consulting staff involved in recruiting (e.g., interviewer schedules, managing commitments, recruiting events, etc.)
  • Support off-season communication

 

Other Logistics Support

  • Utilize Avature regularly for data entry, event management and reporting in a timely and accurate manner
  • Assist with recruit expense reimbursements
  • Actively participate in team meetings and schedule follow-up meetings as necessary
  • Update and distribute offer letters and offeree gifts
  • Monitor and proactively maintain recruiting supplies, including marketing materials and office supplies
  • Perform other duties as requested or as responsibilities dictate

 

Qualifications

  • Bachelor’s degree strongly preferred and 2+ year of administrative and/or Recruiting support experience, preferably in a professional services firm
  • Highly motivated self-starter with strong customer service focus who has outstanding interpersonal, written/verbal communication skills 
  • Ability to demonstrate good judgment and handle highly confidential information in a professional manner while working in a fast-paced and changing environment 
  • Ability to work independently and as an integral member of various teams 
  • Ability to meet deadlines, prioritize assignments and juggle multiple tasks simultaneously
  • Proficiency in Microsoft Windows, Outlook, Word, Excel, PowerPoint, HRIS and database skills
  • Working proficiency in French is a bonus
  • Flexibility with hours; ability to work overtime and evenings as needed
