WHO YOU’LL WORK WITH
You’ll join our EMEA HR Operations team, part of the Warsaw GBS office that supports scalable HR operations and support for Bain offices located in the EMEA region. The department’s mission is to drive process standardization and centralization across offices to support the company’s continued growth and to maintain its position as the best place to work.
In this role, you’ll collaborate closely with Bain’s EMEA offices, providing support for day-to-day HR operations, focusing on Employee Records and Movements as well as system administration. You’ll also contribute to broader project work aimed at improving processes in the region.
WHERE YOU’LL FIT WITHIN THE TEAM
As a Junior HR Specialist (internal title for the position is Coordinator, EMEA HR Operations), you’ll own delivery for specified HR activities and processes in allocated offices. The role is varied, deadline-driven, and demands exceptional time management and attention to detail. This position requires daily use of multiple core Bain systems and applications and may cover all areas of Bain Human Capital operations (Consulting Staff Professional Development, Business Functions HR, Employee Administration, Human Capital Analytics) according to the needs of the supported offices and areas of specialization.
Our team works in a hybrid model (40% of working time in the office).
WHAT YOU’LL DO
Onboarding & Induction
- Coordinate onboarding sessions for new hires, managing scheduling, trainer assignment, and session delivery to ensure a smooth integration experience
- Serve as the point of contact for new joiners and trainers, offering guidance and support throughout the induction period
Travel & Expense Management
- Support employees with seamless travel and accommodation booking, ensuring a smooth experience
- Monitor and review travel and accommodation expenses, ensuring accuracy, cost-efficiency, and alignment with budget guidelines
Time & Absence Administration
- Prepare and deliver accurate, timely reports on time and absence records.
- Respond to ad-hoc reporting requests, providing clear insights and answers related to employees’ time and absence data
Staffing & Reporting
- Coordinate staffing allocations to ensure balanced resourcing across teams and projects, supporting both business needs and employee development.
- Prepare and deliver clear staffing reports
Sustainability & Surveys
- Prepare sustainability report
- Administer employee surveys, monitor participation, and analyze results to provide actionable insights for the local HR team
ABOUT YOU
Minimum of a bachelor’s degree
2–3 years of experience in HR administration and operations,
Experience in using HR systems or talent management platforms; knowledge of WorkDay would be a plus
Fluent in English (C1 level)
Strong communication and collaboration skills
Meticulous attention to detail and a proactive, solution-oriented mindset
Flexible and adaptable in a dynamic, fast-paced environment
- Able to effectively manage time with competing business priorities
- Outstanding organization, prioritization and time management skills
