WHERE YOU’LL FIT WITHIN THE TEAM
The purpose of this role is to provide effective and efficient administrative support to the Recruiting team across the full spectrum of recruiting activities and processes. In this fast-paced role, you will support the team, manage all interview coordination, ensure candidate data is accurate and up to date in the recruitment system (Avature) and provide overall administration support to undergraduate, industry and MBA recruitment processes and recruiting activities.
This role will primarily support recruitment efforts in Southeast Asia, with potential opportunities to expand responsibilities to the broader Asia Pacific region in future.
WHAT YOU’LL DO
Interview Scheduling
- Schedule interviews across multiple time zones, ensuring alignment of availabilities between candidates and interviewers
 - Coordinate in-office room bookings for interviews as well as setting up and supporting virtual interviews
 - Communicate interview details to candidates
 - Proactively manage last-minute rescheduling requests, minimizing disruptions to hiring timelines
 - Serve as the main point of contact for candidates regarding interview logistics and any scheduling-related inquiries
 - Support in-person interviews in the KL office. This would include receiving the candidates and setting up the interview rooms.
 
Recruiting System
- Maintain accurate and up-to-date records in the applicant tracking system (“ATS”) and internal trackers
 - Create interview folders and schedules in ATS
 - Create recruiting events in ATS, as needed
 
Events
- Support recruiting events (including on-campus and in-office company events, networking dinners, coffee chats) where required
 - Coordinate venue bookings, catering and transportation, as required
 - Assist with preparation of marketing materials
 
Additional Responsibilities
- Assist with sourcing and ordering of recruiting collaterals such as marketing materials, offeree gifts
 - Support recruiting projects, such as process improvements, data analysis, and reporting on key recruitment metrics, as needed
 
ABOUT YOU
Qualifications & Experience:
- Bachelor’s degree highly regarded; or an equivalent combination of education, training and experience
 - 3 years’ prior experience in fast moving recruitment team within agency, internal or RPO team OR HR administration experience
 - Strong computer literacy (Microsoft Outlook, Word, PowerPoint and Excel) and database management

 - Strong communication capabilities with accurate written skills and the ability to communicate at all levels. Fluent English is essential
